AI for installation companies

A boiler that fails on Friday evening, a customer sending a photo of the meter cupboard asking whether a charging point will fit, engineers still typing up job sheets after the work: in an installation or maintenance business the work carries on after closing time. AI catches the questions, prepares the job and keeps the schedule full, so the engineers can install.

Why the phone and the inbox eat the planning

Breakdowns happen when they happen, usually outside office hours. During the day the planner sits between the phone, the enquiries by email and the engineers who need something. Every enquiry starts with the same questions: which type of boiler, what does the meter cupboard look like, when can it be done. And the job sheet gets typed up in the evening, or not at all.

Three places where AI helps right away

Breakdown calls outside office hours

An assistant answers, asks what is going on and tells an emergency apart from something that can wait until tomorrow. With a smell of gas or a leak it puts the caller straight through to the on-call service; the rest is ready in the morning with all the details. The caller is always told they are speaking to an assistant.

Photos of the situation up front

The customer sends a photo of the meter cupboard, the boiler or the type plate through the website or WhatsApp. The assistant reads what it is, sees whether there is room and asks for an extra photo if something is missing. The engineer knows what to expect before getting into the van.

Quotes and job sheets without retyping

An enquiry for a charging point, heat pump or new consumer unit is read and prepared as a draft quote in your own template. After the job the engineer dictates the job sheet or ticks it off on their phone; the admin follows by itself.

Situations from daily practice

What an assistant takes over differs per business. Four situations that come up in almost every installation company:

Boiler fault, Friday evening

No hot water, an error code on the display. The assistant asks for the error code and the model, gives the customer the first steps that are safe (checking the water pressure, for example) and books an engineer if that does not help. Any doubt about safety goes straight to the on-call service.

Charging point or heat pump: from photo to quote

A photo of the meter cupboard and the intended spot is enough for a first estimate: is there room in the consumer unit, is the connection heavy enough, what is the cable distance. The draft quote is ready, the planner checks and sends.

Scheduling maintenance contracts

Annual services come in waves. The assistant calls or emails customers in the right month, offers free slots and puts the appointment in the schedule. No more phone rounds at the start of the heating season.

Job sheet from the van

After the job the engineer dictates what was done and which materials were used. The job sheet is filled in, including the lines for the invoice. Customer signature added and done.

Try it with a photo

Send a photo of a meter cupboard, a boiler or a type plate in the chat on this site. You will see straight away what the assistant picks up and which follow-up question it asks.

For example

A Friday evening at an installation company

Picture this: at ten past seven a customer calls to say the boiler shows an error code and the house is getting cold. The assistant answers, asks for the error code and the boiler model and recognises a pressure problem. It talks the customer through topping up, and the boiler restarts. It still prepares a check-up appointment for Monday, with the error code and the boiler model attached. On Monday morning the planner sees a completed appointment instead of an angry voicemail, and the engineer knows which part to bring.

Fixed price up front, after a free introductory call

Every solution gets a fixed price up front. It depends on what the assistant needs to do (take breakdown calls, assess photos, quotes or job sheets) and which systems it has to talk to: your planning package, your accounting, WhatsApp. After a free introductory call it is in writing: what will and will not be built, what it costs and when it is ready.

  • A first version with one clearly scoped process, for example the breakdown line or the job sheet
  • Integration with what you already use, no new system for the engineers
  • Maintenance and updates optional from €195 per month, cancellable monthly

Want to know first where it pays off most in your business? The Work Scan (€495 excluding VAT) maps that out in a concrete report. If you then have us build it, that amount is credited in full.

Frequently asked questions

What does the assistant do in a real emergency?

Put the caller through, immediately. A smell of gas, a leak, a short circuit or someone without heating with small children at home: the assistant recognises the signal words and connects to your on-call service or the number you specify. You define beforehand what counts as an emergency.

Does this work with my planning package?

Usually, yes. Many planning and service packages for installers have an integration; if not, the assistant works with a shared calendar or your mailbox. The integrations page lists what is possible per type of system.

Do my engineers have to learn a new app?

No. Dictating the job sheet works through WhatsApp or a simple screen on the phone they already have. We build around the engineer, not the other way round.

How reliable is an estimate based on a photo?

Good enough to know what you will find and which questions you still need to ask. It remains preparation; the engineer judges on site. The gain is that they do not drive out for nothing.

Will the customer notice they are talking to an assistant?

Yes, always. On the phone the assistant says so immediately, in the chat it is stated. Customers with a breakdown mainly want to know quickly whether someone is coming; that is what they get.
